For Program Managers and Coordinators

How do Enrollment Credits work?

Enrollment Credits represent your participant capacity. Each time a participant successfully joins and enrolls in one of your projects, one credit is consumed from your balance. Because licenses are cumulative, any additional credits you purchase simply stack on top of your existing total.

What are Manager Seats?

Manager Seats give your team members, program leads, and field supervisors full administrative access to manage projects, monitor participant timelines, review evidence, and export custom reports.

Can we run multiple projects under one organization account?

Yes. You can manage multiple projects across different cohorts, field locations, or initiatives simultaneously within a single organization dashboard using your pooled credit balance.

What happens when a project end date passes?

When a project reaches its scheduled end date, logging access closes automatically. If your program gets extended, coordinators can adjust the end date in project settings to reopen log submissions instantly.

How do custom reports work?

You can generate structured reports for individual participants, specific project cohorts, or your entire organization at any time. All reports aggregate verified daily logs and timestamped records into clean PDF or Excel files ready for stakeholders, funders, and university boards.

For Participants and Learners

How do I join a project?

Your program manager or institution will provide a unique project join code. Once you create your SUWKLog account, enter the code on your dashboard to request approval or join the workspace immediately.

What happens if I miss the 6 hour edit window?

Once you submit a daily log entry, you have six hours to make any updates or add additional details. After six hours, the entry locks permanently to ensure record credibility. If you forget to log an activity, you will need to create a new entry detailing your work, but the server timestamp will reflect the exact time of submission.

Can I upload proof of my practical work?

Yes. You can attach supporting photos, PDFs, and site documents directly to your daily log entries. All evidence is stored securely and linked to that specific activity date.

What if I am assigned to multiple host companies or locations?

You can set up multiple placement records under your profile covering different companies, supervisors, or field sites. When creating a daily log entry, simply tag the specific placement it belongs to.

Can I access my logbook history after my program ends?

Yes. Your SUWKLog account is lifelong. Even after a project ends or is archived by your host organization, you maintain permanent read access to your verified work history and personal reports.
